6 ways AI-enabled travel software can help service-based businesses

With digital transformation on the rise, the business services sector is expected to reach over $1.8 trillion by 2033, marking a 26% growth rate from 2025 to 2033. Growing small and mid-size companies, and an emphasis on advanced technologies and cost efficiency are a few key factors contributing to the forecast.

Strategic business travel that’s managed through artificial intelligence (AI) enabled travel software can help drive growth for business services organizations. Managers, travelers, and admins can automate repetitive tasks, identify actionable trends in travel data, and streamline expensing. Despite those positives, findings show many small businesses aren’t fully utilizing AI-enabled travel software.

The American Express Global Business Travel (Amex GBT) Business Barometer reveals:1

35% of US and 27% of UK small and medium-sized businesses expressed "My business won't maximize the benifits of AI."

Findings also suggest business travel is key to their business.

  • 97% sent employees on trips from October 2024 to October 2025.
  • 35% manage travel in a centralized way, with all business travel booked through a company approved platform or travel agency.

AI-enabled travel software brings the opportunity to fill business gaps and here’s how.

1. Helping to streamline trip planning

“With AI and machine learning models streamlining the booking process, travelers that book through Amex GBT can book policy compliant flights or hotels in under three minutes.”2

Daniel Dakesian, Senior Product Marketing Manager, Amex GBT

Personalized suggestions:There’s no need for endless scrolling to find the hotel and flight that best meets expectations. With machine learning enabling the booking system, it learns from user preferences and travel patterns so travelers can see personalized, in-policy options at the top of search results As systems learn from more data, it’s possible for those search results to get better over time. Although other factors like data quality and robust technology are key to making that happen.

But suppose someone forgot to book a hotel when they booked their flight. Without an AI-integrated booking system, that simple oversight can lead to an expensive out-of-policy hotel stay. And when the hotel is booked outside of a company’s booking system at an unknown location, it becomes harder to assess potential safety risks which may compromise a company’s duty of care.

Automatic reminders: With Amex GBT’s AI-enabled recommendation tool, travelers can automatically receive a reminder email to book their hotel when they’ve only booked a flight. The email includes hotel suggestions in line with their travel policy, and they can click-to-book directly from the email.

2. Building itineraries through self-service booking

Chat assistance: AI-enabled chat helps travelers become more self-reliant when booking and modifying trips. Knowing how detailed itineraries can get, Amex GBT doubles down to support travelers. Not only can they use chat assistance, but they also have the option to speak to a live agent.

3. Managing trips with time-saving efficiency

Trip support: Booking a trip isn’t always clear-cut, especially for first-time travelers. But with AI as part of the search, they can get faster help. Amex GBT’s chatbot is based on a large language model, so it understands natural language questions, not just keywords. Daniel adds, “You can ask it questions like you would a human. It then replies with answers in real time, sourcing relevant information based on our help center articles.”

“Managing travel can easily get complicated if you’re continually adapting to a changing client base. Having a trip approval process with first and second-level approvers can prevent bottlenecks, especially when approvers are out of office,”.

Approval process: With AI at the core of travel software, service-based companies can have an efficient trip approval process. Automated workflows can help travelers book from providers that are in line with travel policy.

Amex GBT offers a recommendation tool that uses machine learning to help set up a trip approval process. “The tool considers the number of traveling employees, business locations, and industry. Small businesses can go from no approval process to one that’s already designed and in place. And once it’s implemented, they can customize it to their specifications,” explains Daniel.

4. Searching and finding hidden savings

Uncovering savings: Also consider the lost savings when airfares and hotel rates lower after bookings are made. Machine learning that monitors post-booking rate drops can prevent that from happening. Small companies that work with Amex GBT can get a rate-search tool that catches those rate drops and automatically rebooks the lower rate.

Think about all the tasks involved when searching for rate drops on flights:

  • Continuously searching the web for lower airfare.
  • Comparing seat class and preferences.
  • Cancelling original booking (if you later found a lower rate).
  • Sending an email to employee with new flight details.

$16 million in savings was realized by companies that used Savings Finder, our hotel rate search tool as part of the EgenciaTM solution.3

“With AI-enabled software, you can find savings that would otherwise be left on the table It’s all about doing more with less resources,” according to Daniel.

5. Working smarter with easy expensing

Streamlining tasks: AI-powered software can help streamline the travel and expense workflow for travelers and finance teams. By integrating booking details on flights, hotels, and car rentals into expense management platforms, users can minimize time spent entering data manually.

Integrated data: With unified data that integrates booking and expense details, finance managers can keep a close eye on travel spend and ROI while spotting opportunities to save more on travel costs.

Bookings will match corresponding expense receipts and transactions so teams can spot discrepancies between what was booked and what was charged.

OCR recognition: Consultants and contractors may find submitting and processing receipts is faster when they use optical character recognition (OCR) enhanced through AI. It lets them easily scan receipts and photos to extract data for expense reporting. And a unique calendar view helps match transactions to trip dates, giving more context to expenses.

6. Adding more clarity to data insights

Spend reporting: “AI-enabled reporting software helps summarize travel spend with charts and graphs. So, anyone from a travel coordinator to an admin or operations manager at a small-size company can make sense of data. They don’t have to be a data analyst to figure out how travel spend is trending. And since AI can help process vast amounts of data, they can tell whether travelers aren’t just reading their company’s travel policy but following it,” Daniel says.

With spend patterns in clear view, they can see if it’s more cost-effective to switch from one hotel provider to another. And if the goal is to lower emissions, they’ll see where to cut back on emissions and what substitutions to make to support that goal.

Relevant answers: With Amex GBT’s travel summary dashboard, they can ask a specific question, whether it be on hotel spend in the last two years or top ten departments by CO2 kilograms. And they’ll get data that they can turn into graphics and charts to share with stakeholders.
